Privacy Policy
Last updated: 24 September 2026
This policy explains what personal data we collect when you contact us through this website, how we use and store it, and the rights you have under UK data protection law (the UK GDPR and the Data Protection Act 2018).
1. Who we are
[COMPANY LEGAL NAME] (“we”, “us”, “our”), [COMPANY NUMBER — if a registered company], of [REGISTERED / POSTAL ADDRESS], is the data controller responsible for your personal data. If you have any questions about this policy or your data, contact us at hello@annodom.com.
2. What personal data we collect
We only collect the information you choose to give us. When you submit our on-site contact form (the “Start a conversation” panel), we collect:
- your name;
- your email address;
- the contents of your message and any details you choose to include.
If you email us directly instead, we receive whatever information your message contains. We do not collect special category data, and we do not use tracking or advertising cookies (see “Cookies and local storage” below).
3. How we use it, and our lawful basis
We use this information to respond to your enquiry, to discuss whether and how we can work together, and to keep a record of our correspondence.
Our lawful basis for this processing is legitimate interests — namely, responding to people who contact us about our services. Where you contact us with a view to engaging us, we also rely on taking steps at your request before entering into a contract. We do not use your details for marketing unless you have separately and explicitly agreed to it.
4. How it reaches us, and how we store it
When you submit the contact form, your details are transmitted to us by Web3Forms, a form-to-email delivery service that acts as our data processor solely to forward your message to our inbox. We then hold your information securely within Google Workspace, which also acts as a data processor and stores the data on our behalf under a data processing agreement.
Some of this processing may take place outside the UK; where it does, it is protected by an adequacy decision or by appropriate safeguards (such as the UK International Data Transfer Addendum to the EU Standard Contractual Clauses). We apply reasonable technical and organisational measures to keep your data secure.
5. Who we share it with
We share your personal data only with the service providers that help us run our business (such as Web3Forms, Google and Vercel, as described in this policy), acting on our instructions, or where we are required to do so by law. We do not sell, rent, or trade your personal data to anyone.
6. How long we keep it
We keep your information only for as long as we need it for the purposes above — [RETENTION PERIOD — suggested: up to 24 months after our last contact, unless an ongoing relationship means we need to keep it longer]. After that, we securely delete it.
7. Your rights
Under UK data protection law you have the right to:
- be informed about how we use your data (this notice);
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased;
- restrict or object to our processing of your data;
- data portability;
- withdraw consent at any time, where our processing relies on consent.
To exercise any of these rights, email us at hello@annodom.com. We will respond within one month.
8. Cookies and local storage
This website does not use tracking or advertising cookies. It stores a single functional preference in your browser (your light/dark theme choice) so the site remembers how you like to view it. This is not used to identify or track you.
We use Vercel Web Analytics, provided by our hosting company, to count page views and a small number of on-page events, such as opening the contact panel. It sets no cookies, stores nothing on your device and does not identify you. Visits are counted in aggregate only.
9. Complaints
If you have a concern about how we handle your personal data, please contact us first so we can try to put it right. You also have the right to complain to the UK regulator, the Information Commissioner’s Office (ICO):
- online at ico.org.uk/make-a-complaint
- by phone on 0303 123 1113
- by post to Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF
10. Changes to this policy
We may update this policy from time to time. Any changes will be posted on this page, and the “Last updated” date above will show the latest version.
